Arrive

Arrive is a Visitor management system used to register and track each guest entering a centre. The product makes it easier to identify people who have managed to enter coworking premises, and an integrated backend system can quickly inform members when their guests arrive.

Stakeholder brief

Build an in-house visitor management app for tablets, which replace an existing 3rd party product. The key ask was to keep it as simple and rich as the current app, easy to use, quickly learnable, and faster. Another requirement from the stakeholders was to build it for any device, not limited to a particular device like the current application, which was limited to iPads. Also, enabling cross functioning with other in-house products.

Problem Valuation

1) The existing product wasn't cost-effective.
2) Lack of local support from the team since the product was owned by a 3rd party establishment and didn't have enough support in India.
3) Integration difficulties with the in-house customer engagement application called "connect".
4) Lack of UI customization.
5) Expensive hardware.

Solution

The challenge was to bring high standards to the UI, equally rich as the existing product. Since we always looked up to a global product, it was vital to make it similarly excellent along with Cowrks branding. We came up with the following interface, which worked across devices, and can be easily integrated across different products like "Connect" & "Converge" at CoWrks.

Connect

Connect is a social platform created for members. The product allows members to connect with other members, read articles and information on the latest events and offers, get support and updates from community managers, raise complaints, visitor management, etc.

Problem Valuation

During our onboarding week at cowrks, we managed to talk to many members at cowrks. It wasn't intended to redesign the mobile app, but we had noted down many basic functionality & usability issues during our early days at work. Our interviews with many users helped us gather some valuable insights.

From the research and competitor analysis, we somewhat arrived at the following valuation.

Though the existing app covered most of the features/utilities, it lacked usability.
There were many unused features highlighted on priority upfront.
Overall, information was scattered, and many essential functionalities were hidden under multiple levels of navigation.
Members hardly used the messenger feature. It was about 2-3%.
Difficulties in navigating the "Support section", which was hidden inside the "my centre" tab on the community(landing) screen.
Specific companies had mandatory attendance registration through the app. Hence, Members were asked to check in every day to mark attendance. This feature was hidden in multiple levels of navigation. As a day to day feature, it was essential for members to show this feature upfront.
Booking a meeting room wasn't intuitive. Users weren't able to search/filter out a particular meeting room.
Finding other members was not easy.

Features ignored/added.

CoWrks market place- The market place payment mechanism became independent of the connect app. It wasn't making sense to have my centre tab on the app landing page.
Messenger- Moved "Messenger" from the main navigation because members were not using the feature.
Visitor management - Integrate visitor management features.
Offers/events discovery- Company partnership with many vendors opened many marketing/sale opportunities. It was essential to improve offers and events discovery.
Add Wellness analysis - informs the member about the time spent at their desk.

Solution

Have marked out our solutions and observations on each screen/feature below. Though "connect" didn't see the light as I exited cowrks right after the initial phase. But I was glad to see and experience the "arrive" app when I visited the Spring MC Mumbai office based out of CoWrks.
